It’s an age-old issue; well, for as long as we’ve been using technology platforms. Whether talking about a video management solution or any other digital product, we often hear “our processes are designed this way because it’s how the platform works.”
It is amazing how, in this day and age with technology as configurable as it is, many businesses are still having this issue. They know they aren’t executing processes in the most efficient way, and that there are functions or insights that they’re missing because of their technology platforms. So, what should be done?
Consult your existing solution provider
It is only fair to make this point first, before advocating the ‘jump ship’ approach. It’s feasible, particularly if you’ve used a technology solution for some time, that the platform has evolved and actually can satisfy your needs. A good provider should have made you aware of this, but it’s worth asking before assuming that change is the only answer; unless you’ve been unhappy with their services anyway, in which case what a great opportunity to address this and gain capabilities.
Reviewing alternative solution providers
When reviewing alternative providers, consider the following:
1. Does the platform have all of the capabilities that I need?

2. Is the platform evolving?
To avoid ending up in the same situation a few years down the line, ask potential suppliers about their roadmap and what they do to ensure that their product evolves with the times. Are customers involved in decisions when it comes to the evolution of the platform? Look for evidence of user group sessions or forum events.
3. Will their pre-sales team work with us to understand our requirements?
Let’s be clear; there is no point in changing providers if they’re just going to copy your existing setup. This is an opportunity to really evaluate your processes, to ask yourselves why you’re doing things a certain way and for experts to tell you if things could be done differently. A qualitative and thorough workshop session, pre-sale is absolutely essential.
4. Will they help us implement the product and train our staff?
You need a provider who will not only help you implement the solution – incorporating your re-defined processes – but who will also empower your management team and users to get the most out of the product. Sure, they’ll have a support team but you don’t want to be calling them every five minutes; a decent amount of knowledge transfer is really important.
I know what you’re thinking: “this all sounds great, and I know I need to do it but now isn’t a good time.” Unfortunately, there’s never a good time; and as discussed, there are things that you can do to make the transition easier. So don’t wait any longer to get started.
